Outlook® is often used to manage bookings for company meeting rooms. Even so, clashes still happen with rooms already in use or are unused for long periods.
Kelio Reservation has been designed as an interface to complement your Outlook® calendar. Working in conjunction with Outlook® and Kelio access control solutions, this useful module ensures efficient booking of meeting rooms while maintaining current planning procedures.
Enhance booking efficiency by installing Kelio Visio X7 smart terminals outside meeting rooms
Placing an interactive Kelio Visio X7 touchscreen terminal outside each meeting room allows you to:
- Immediately see when the room is available
- Book your meeting directly from the terminal
- Check details of pending bookings
- Control access to rooms effectively: only staff who are attending the meeting are permitted to enter the meeting room during the time booked
Optimise meeting room use by co-ordinating bookings
With Kelio Reservation software all particulars of room bookings are automatically revised and distributed in real time:
- If a meeting is reserved via Outlook® the booking is immediately communicated to the Kelio Visio X7 touchscreen terminals, all booking information is displayed live, right outside your meeting rooms.
- If your meeting is booked or you change the details using the Kelio Visio X7 touchscreen terminal, a notification is sent immediately to the Outlook® calendars of all participants
- If your meeting ends before the booked time, you can report the meeting has finished using the touchscreen terminal. This designates the room to another Outlook© booking.
Maximise meeting room security
The Kelio Reservation solution ensures you have full control of access to your meeting room.
Valuable equipment kept in the room is protected: access to the room by biometric or badge readers is restricted to the organiser and the registered attendees, and only whilst the room has been booked.
In the event of an incident, all the room bookings and attendees can be traced.
